Applying for Jobs

How do I view and apply for jobs with the University?

Current members of staff must apply via Employee Self Service. After accessing Employee Self Service click on the person icon in the top right hand corner, choose Useful Links and select the Web recruitment - All jobs link.
- What do I do if I’ve forgotten my password?
Please use the 'Forgotten your password?' link which will inform you of your username and allow you to create a new password.
Should you enter your login details incorrectly 3 times your account will be locked. In this situation you should email hrhub@qub.ac.uk to request the account is re-activated.
- What is the deadline for applying for a vacancy?
The closing date for all jobs is clearly stated within the Job Details and Candidate Information for each post. The deadline for receipt of applications is 11.59pm on the closing date.
- The apply button hasn’t appeared, how do I submit my application?
Check that you’ve completed all mandatory fields. On the Application Summary page there should be a tick next to each page of the application form. If you don’t have a tick, click on the page, and enter information into the mandatory field you’ve left blank. Once you have done so, the apply button should be activated.
- I’ve submitted my application, but I’ve made some mistakes and/or missed some information, how can I amend it?
Unfortunately, once you have submitted your application online, you cannot make any changes to it. We advise all candidates to check their application fully before submitting.

The closing date has passed, can I submit a late application?
Once the deadline has passed, no further applications will be accepted.
- How can I apply for casual work in the University?
You can register your interest in temporary posts by visiting our Q Work website here.
- What should I do if I have a disability or health condition that may impact on the recruitment process?
In accordance with the University’s Diversity and Inclusion Policy, we seek to ensure that all candidates, regardless of disability, can participate fully in the selection process. The University will provide reasonable adjustments to disabled applicants throughout the recruitment process. Forms are available in a range of formats, font size or in Braille or audio formats.

- How do I know if you have received my application?
You will receive a confirmation email from us after submitting your application. You will be kept up to date via email with any progression through the recruitment process.
- When applying for a job I’ve received the following error message – “Trent has detected a potential security violation. No further action will be allowed” How do I continue with my application?
This error message usually appears when one and/or two things occur:
- Candidates use a mobile network to complete your application – the issue with mobile networks is that the IP address can sometimes change mid-session.
- Candidates use the back/forward buttons on their browser as opposed to the ones built into the system.
Please try again, taking note of the above.

When will I receive the outcome of my application?
Once the vacancy has closed the shortlist panel will review all applications and agree which candidates they would like to invite for interview.
After shortlisting has been completed, all candidates will receive an email confirming the outcome of their application.
Feedback by People and Culture is not provided to unsuccessful applicants at shortlisting, due to the high volume of applications received.

How does the selection process work?
After the closing date for the job vacancy, all applications will be considered by the selection panel at the shortlisting stage. For senior posts, or job vacancies that have a very large response, this may be preceded by an initial long-listing stage to identify applicants who meet the essential criteria. Candidates who are not long- or short-listed will be informed by email.
Shortlisted candidates will be invited to attend the next stage in the selection process and will usually be given at least one weeks’ notice to prepare for this. Anticipated interview dates are often listed on the Candidate Information document. This stage usually involves an interview and may also include other selection methods as appropriate, such as a presentation or a work-based exercise; full details will be provided when candidates are invited to attend. References will also be taken up at this stage for academic posts but will only be requested with your prior permission.
If you are unsuccessful at any stage in the process, you will receive an email confirming this.
- I have been advised that I was unsuccessful at being shortlisted for an interview. Can I request feedback?
Unfortunately, due to the volume of applications received, we are unable to provide feedback at shortlisting stage. Applications are shortlisted based on the criteria detailed in the Candidate Information.
- Will my referees be contacted if I am invited for an interview?
The application process for academic roles requires you to provide the contact details of two referees who can be contacted with your prior permission, to provide an employment reference regarding your suitability for the job. For all other roles, references will be requested at the point of a job offer.
- Can I do my interview online?
As part of our focus on digital provision and sustainability, Queen’s University Belfast will endeavour to utilise virtual interviewing where possible. Details regarding the location of your interview will be displayed when you log in to select an interview slot.
- My interview is being held via MS Teams and I’ve selected an interview slot. When will I receive my Teams link?
This will be sent to you by the panel prior to the interview date. Please ensure you check your junk mail folders.
If you haven’t used Teams before for a meeting, you need to select ‘Join’ and leave your camera and microphone on. For further information on Microsoft Teams please refer to our instruction summary: How to use Teams – Candidate
