When will my Winter Graduation 2024 ceremony take place?
The Winter Graduation 2024 ceremonies will take place between Monday 9 - Friday 13 December 2024. The full schedule can be viewed here.
- How do I register to attend my Graduation ceremony?
If you are eligible to register, you will receive an email to your Queen’s email address. You can access the registration portal via Qsis > Exams/Graduation > Register for Graduation once it becomes available.
Registration will open Monday 4 November 2024 at 10.00 a.m. and close on Monday 25 November 2024 at 5.00 p.m. Please note that registration will not be possible outside of opening dates.
- Registration page shows that I am not a potential graduand. What does this mean?
It could be for various reasons:
- If you are trying to access the system outside of the specified times – Monday 4 November 2024 at 10.00 a.m. to Monday 25 November 2024 at 5.00 p.m. access will not be available.
- If you have not received your final degree classification. You can check if your degree has been completed via Qsis > Academic Record > View Unofficial Transcript. If you are expecting to receive your final degree classification and it is not available, please contact your School directly.
- Have you received your final degree classification within the last 24 hours? It can take up to 24 hours after your School have published your result, to gain access. We will send you an email to your Queen’s email account as soon as your registration page is ready for access.
- If you have Negative Service Indicators (NSI) on your Qsis account. Please ensure that you have paid any outstanding fees to the University and contact Student Finance to have the NSI removed. This must be completed well in advance of the deadline to allow you sufficient time for registration.
- Is there a deadline to register for Graduation?
Yes. Registration for Winter Graduation 2024 will open on Monday 4 November 2024 at 10.00 a.m. and close on Monday 25 November 2024 at 5.00 p.m.
Please note that due to the volume of graduands and number of ceremonies to be organised, applications after the deadline will not be accepted.
If you do not register by the deadline, you will automatically be registered as In Absentia and your parchment will be posted to you during January 2024. Please ensure that you have paid any outstanding fees to the University and contact Student Finance to have any Negative Service Indicators (NSI) removed in advance of the deadline. You are not eligible to graduate or receive your graduation parchment until all outstanding fees have been cleared and the NSI removed.
- Is there a charge to attend my Graduation ceremony?
There will be no charge to attend the Winter 2024 Graduation ceremonies. Every eligible Graduand will be given free attendance at the ceremony in the Whitla Hall, three guests ceremony tickets, gown hire, Graduation parchment and admittance to the Garden Party for the Graduand.

Is there a charge to attend the Garden Party?
The Garden Party is free to attend for Graduands. Garden Party guest tickets are £11 each. Each Graduand can purchase up to 3 guest tickets via the registration portal. Information on additional tickets will be made available in due course.
- Can I choose what date I attend? Can I attend on a different date?
No. Ceremonies have been scheduled by School to ensure that you attend with your student cohort. Therefore, it is not possible for you to choose and attend an event on a different date. However, you may be able to defer – please see question below.
- I am unable to attend my ceremony. What are my options?
You can also choose to register in the following ways:
- IN ABSENTIA – your degree will formally be recognised as having been conferred in the current graduation cycle and you will not be invited to future ceremonies. You will not be charged for this and your official degree parchment will be posted to you in January 2025. Please ensure that your “HOME” address on Qsis is accurate for postage. You can change this on Qsis > Personal Details > Addresses.
- DEFER – you will be invited to the next available Graduation event. As your degree will not be conferred until such time that you graduate, you will not be issued your official degree parchment. Please note that not all pathways are available for deferral e.g. MB Medicine, BDS Dentistry. Please check the registration page for details.
- What happens if I miss the deadline to register. Can I still attend?
Unfortunately not.
Graduation is a significant logistical undertaking and due to the significant level of planning and organising, including meeting operational and print deadlines, it is not therefore possible to accept late registrations.
- If I do not attend, will I still graduate from the Queen’s University Belfast?
Yes. You can choose to graduate In Absentia. Your official degree parchment will be posted to you during January 2025. Please ensure that your “HOME” address on Qsis is accurate for postage. You can change this on Qsis > Personal Details > Addresses.

Do I need to provide guest names and contact details?
No. If for any reason we need to get in contact with you or your guest, this will all be done via your Queen’s email address, as you are the lead name on your registration.
- I have a disability or special access requirements in order to attend the celebration event. How can I make you aware of this?
When you are registering for graduation, you will be given the opportunity to provide relevant information regarding you or your guests’ access requirements. The Sir William Whitla Hall has Wheelchair access, but no lift to the upper gallery seats.
We ask that you provide as much information as possible so we can assist you and your guests on the day of your event or when you are collecting your gown.

How long will my Graduation ceremony last?
We anticipate that each event will last around 45 minutes but that will vary depending on the number of graduates attending each event. The Garden Party will last for 90 minutes after each ceremony.
- What can I expect from my Graduation ceremony?
At your Graduation ceremony, you will have the opportunity to wear your gown, have your name read out as you cross the Sir William Whitla Hall stage and receive your degree parchment.
You can also get photographs taken and celebrate with friends, family and loved ones at a Garden Party after the event. You will need to purchase guest tickets for this during registration.

- How many guests will I be able to bring to my Graduation ceremony?
Each Graduand is guaranteed three guest ceremony tickets for Winter Graduation 2024. Guest tickets provide admission to the Sir William Whitla Hall to watch the event. Graduands do not require a ticket to the ceremony.
- Is there a code of conduct at my Graduation ceremony?
We recognise that Graduation is a momentous occasion for all Graduates and their families. We kindly ask that you and your guests are mindful of other Graduates on the day and refrain from any behaviour that may cause disruptions or offense, such as gestures onstage or excessive noise.
- What will happen at the Garden Party?
Each ceremony in the Sir William Whitla Hall will be followed immediately by a Garden Party, which will last for 90 minutes. The Garden Party will give you an opportunity to celebrate with your friends and tutors after the ceremony.
At the Garden Party, each guest will be offered a glass of Mimosa (morning) or Kir Royale (afternoon). Fairtrade tea and coffee will also be served with a selection of pastries. Non-alcoholic alternatives will be available.

How many guests will I be able to bring to the Garden Party?
Each Graduand can purchase up to 3 guest tickets via the registration portal. Garden party tickets are £11 each for guests. Graduands do not have to pay for their own attendance at the Garden party.
- I want to bring more than three guests to my Graduation ceremony. Is that possible?
Unfortunately, due to the numbers of graduates we expect to have attending and logistics in place to ensure it is a safe and comfortable environment, it will not be possible for Graduands to be allocated more than three guests to the ceremony hall at the time of registration.
If further tickets become available closer to the time, we will inform all those registered to attend via your Queen’s email account.
- Can I bring additional guests to the Garden Party?
Unfortunately, due to the numbers of Graduands we expect to have attending and logistics in place to ensure it is a safe and comfortable environment, only those with tickets to attend the Garden Party will be permitted entry and it will not be possible for Graduands to reserve more than three guest tickets at the time of registration.
If further tickets become available closer to the time, we will inform all those registered to attend via your Queen’s email account.
- How and when will I receive the tickets for my Graduation?
You will receive all of your ceremony and Garden Party tickets when you collect your Academic Costume. Please ensure you bring your graduation reference page with you.
Full details of when and how to collect your Academic Costume will be sent to you before the event and schedule published online. A link will be posted here nearer the time. Costume can usually be collected up to 48 hours before your ceremony and must be returned by 7pm on the date of your Event.
- How can I make sure my name is pronounced correctly?
We would like to ensure that your name is pronounced correctly. If you are concerned that your name may be mispronounced, please submit your name pronunciation to the Queen's Portal here
- Name of School
- Degree title
- Student number
- Full name as written
- Full name as it should be pronounced
This must be submitted at least 3 days before your ceremony to allow sufficient time to inform the relevant staff.

Will I receive my degree parchment during the event?
Yes, you will receive your degree parchment as you come off the stage after your name has been called.
- Will I receive a souvenir booklet with my name in it?
Yes. Included in your attendance for your Graduation ceremony is a souvenir booklet which will have your name and degree printed in it.
- I am unable to attend my Graduation ceremony. Will my name still be read out or printed in the souvenir brochure?
The names of any students graduating In Absentia will appear in the Souvenir brochure. However, your name will not be read out.
- What if I am unwell on the day and cannot attend?
If you are registered to attend and cannot make the event for any reason including illness, you should submit this to the Queen's portal.
- Will the celebration be live streamed?
Yes. The events will be live streamed and available to watch online.

Will there be an official Photographer onsite on the day of my Graduate Celebration Event?
The Photography studios will be located in the Cube, 1st Floor of One Elmwood.
Stage Photography viewing/sales will be located in the main graduation marquee.

- Where can I view/purchase my Stage (Whitla Hall) photograph?
Your ‘Whitla Stage’ photograph should be ready to view/purchase just inside the main Graduation Marquee.
If you miss this opportunity on the day, please contact su.reception@qub.ac.uk who can advise on how you can get this locally up to last day of graduation, Friday 13th December or via the suppliers website at a later date.
Please be aware that whilst the photographer will endeavour to capture an image of everyone as they are ‘on stage’, sometimes, due to the nature of the ceremony this isn’t always possible.
- When and how can I collect my Academic Costume?
Full details of when and how to collect your Academic Costume will be sent to you before the event and schedule published on the Gown Schedule page. Costume can usually be collected the day before your ceremony and must be returned by 7.00 p.m. on the date of your Event.
- Will I be able to hire a gown if I do not attend my Graduation ceremony?
If you are unable to attend or you wish to hire academic costume on a different date, you can do so through our online shop.
- I am travelling to attend my Graduation ceremony. Is there any accommodation in the area?
Yes – there are a number of hotels, guest houses and bed and breakfasts in the city centre and close to the campus. A link to Visit Belfast where more detail is available can be found here.

Will Graduation merchandise be available?
Graduation merchandise will be available to purchase on the day from the Welcome Centre.

What systems do I retain access to as a graduate of Queen's University Belfast?
Once you graduate, as an Alumni you will only retain email access. Please ensure you keep it active by logging in every so often. Any dormant accounts i.e. no activity for a 12 months, will be subject to termination.
Office365 access (including OneDrive), Canvas & QOL access will be terminated as will other IT services as deemed appropriate. More information can be found on https://daro.qub.ac.uk/email_for_life. Please take this opportunity to download any relevant content in Canvas or OneDrive that you wish to retain.
- I have a question about graduations which has not been answered here. What should I do?
