Covid-19 Certification Checks - Campus Food and Drink

PRIVACY NOTICE

Queen's University Belfast ("we", "us" and "our") is committee to protecting your personal data.  This notice is address to all staff, students and members of the public using our venues and/or attending events where food and drink is provided. This Privacy Notice tells you why we need to collect personal data about you, what we will do with it and how we will look after it.  It also tells you about your legal rights in relation to your personal data.  If you have any questions about this privacy notice, please contact us.  Contact details are provided below.

1. WHO WE ARE

We are Queen's University Belfast, a university with a reputation for excellence in education and research and a member of the Russell Group.  Founded in 1845 as Queen's College Belfast, we became an independent university in 1908.

From the 29th November 2021 it is a legal requirement for hte University to take all reasonable steps to verity the Covid-19 status of those who visit some of our venues and events, prior to allowing entry.

To check your Covid-19 status we will ask for one of the following:

The COVIDCert NI app to prove double vaccination

or

Negative PCR or Lateral Flow test (with ID, taken no more than 48 hours prior) - Providing the email/text issues by the NHS after an individual registers their test

or

Positive PCR in previous 30-180 days (with ID) - providing the email/test issues by the NHS after an individual registers their test

The University will use the 'COVIDCert Check NI' Verifier App (known as 'Cert Check NI') to verify whether an individual hsa been fully vaccinated against COVID-19.  The Cert Check NI Verifier App is designed for use in scanning and verifying COVID status 2D bar codes (QR codes).  These 2D bar codes can be presented by an individual in a number of ways, for example via the COVIDCert NI App, or an officially issued paper copy certificate.

2. WHAT INFORMATION IS NEEDED

You will require to see you name and Covid-19 status.  The University will not collect or store this information.

3. HOW WE USE YOUR PERSONAL DATA

We use your personal data to check your COVID-19 status prior to entry to certain venues and events where verification is required.  It will be used solely for this purpose and will not be retained. 

4. LEGAL BASIS FOR USING YOUR PERSONAL DATA

The Northern Ireland Executive has legislated in the Health Protection (Coronavirus, Restrictions)(No. 4) Regulations (Northern Ireland) 2021 that it is in the public interest to permit only those persons who prossess evidence of, inter alia, being fully vaccinated against Covid-19 to be present on the verifiers presmises to minimise as far as possible the risk of transmission of the virus which causes Covid-19.

As such the lawful bases for the University processing your personal information under the UK GDPR are as follows:

• Article 6(1)(c) - processing is necessary for compliance with a legal obligation to which the controller is subject;
• Article 9(2)(g) - the processing is necessary for reasons of substantial public interest; and
• Article 9(2)(i) - the processing is necessary for reasons of public interest in the area of public health.

5. DATA PROCESSING OUTSIDE EUROPE

Your data will not be shared with any third parties and will not be processed outside of the UK and Europe.

6. HOW LONG WILL YOUR INFORMATION BE KEPT

The University will not collect or store your information.

7. YOUR RIGHTS

The Data Protection Act 2018 provides you with a number of legal rights in relation to your personal data, including the right:

to request access to your personal data;

to request correction of your personal data that is wrong or incomplete;

to request erasure or the restriction of processing of your personal data;

to requet the transder of your personal data in a strcutured, commonly used machine-readable format;

not to be subject to automated decision making; and

to withdraw your consent.
